As a Legal Assistant (Documents Manager/Auditor), you'll play a critical role in ensuring the accuracy and compliance of all lease agreements, contracts, and other legal documents related to our property management operations. Your sharp eye for detail will mitigate risk, prevent legal issues, and contribute to smooth tenant relations.
Responsibilities:
- Organize and maintain a secure, comprehensive filing system for all legal documents, from lease agreements and maintenance records to financial statements and tenant communications. Think secure cabinets and robust digital systems with standardized naming and version control.
- Conduct regular audits: Ensure completeness, accuracy, and adherence to legal and company policies by scrutinizing document files.
- Scan and digitize paper documents for secure electronic storage and easy retrieval.
- Protect tenants and the company: Assist in reviewing new and existing lease agreements for compliance with state and federal laws, fair housing regulations, and company policies. Identify and address any discrepancies before execution.
- Handle amendments and extensions to existing lease agreements with accuracy and speed.
- Assist with legal research and analysis on various property management matters, draft basic legal documents under attorney supervision, and prepare legal exhibits and presentations for court appearances or mediations.
- Stay ahead of the curve: Keep up-to-date on relevant property management laws and regulations at the local, state, and federal levels.
- Identify and neutralize threats: Be the first line of defense by identifying and reporting potential compliance issues to management promptly.
- Promote continuous improvement: Assist with implementing new policies and procedures related to document management and risk mitigation.
Qualifications:
- Minimum of 2-3 years of experience as a legal assistant, paralegal, or in a similar document management role within a property management company or related field a plus.
- Proven ability to work with meticulous attention to detail and accuracy.
- Strong understanding of legal terminology and principles.
- Experience with lease agreements and property management documents a significant advantage.
- Excellent organizational and communication skills.
- Proficiency in Microsoft Office Suite, with advanced skills in Excel and Word.
- Ability to work independently and as part of a team.
- Strong analytical and problem-solving skills.
- Preferred but not required: Bachelor's degree in Paralegal Studies, Legal Studies, or a related field preferred.
