Treantly is a Canadian-based recruitment agency that facilitates the connection between businesses in North America and exceptional remote staff in the Philippines. We are seeking for an Operations Licensing & Operations Specialist-Product Development. As an Licensing & Operations Specialist, your role is to act as the main contact for our sales operation teams, factories, and design teams. Their role is to coordinate artwork changes, notify the factories in advance, and keep track of the changes to ensure smooth workflows. The job holder will also be responsible for coordinating licensing activities, maintaining records, and ensuring seamless communication within the licensing team and with external stakeholders.
Responsibilities:
- Coordinate between external and internal parties on artwork changes and project progress
- Monitor and track progress with our internal design teams.
- Act as the point of contact and communicate project status & progress to all stakeholders
- Audit the files and folders to make sure everything is up to date and as expected based on the tracking sheets provided.
- Create and maintain basic monthly reports on workload progress.
- Organize the customer operation team’s requests, identify priorities under the supervision of the Director of Operation – Product Development and coordinate workload.
- Assist in the coordination of licensing processes, ensuring all necessary documentation is collected and maintained accurately.
- Keep detailed and organized records related to licensing agreements, contracts, and other relevant documents.
- Utilize databases to input, update, and manage licensing-related information efficiently.
- Assist in tracking and managing deadlines associated with licensing agreements, ensuring compliance and timely renewals.
Requirements:
- 3+ years of experience in customer services, project coordination,
- Previous experience in administrative support roles.
- Proficiency in Microsoft Office, particularly Excel (advanced skills including Vlookup and Pivot tables)
- Experience in Project management tools is a plus
- Savvy and quick to learn new concepts and systems.
- Ability to prioritize and multitask and organize.
- Attention to detail.
- Ability to work well with others and communicate effectively.
- Professional demeanor, positive attitude, and team player
- Ownership mentality and takes initiative
- Experience or knowledge in licensing is a PLUS but not required
