Responsibilities:
1. Administrative Support:
Act as the primary point of contact between the executive and internal/external stakeholders.
Manage and maintain executive's schedule, including arranging appointments, meetings, and travel itineraries.
Handle correspondence, emails, and phone calls, ensuring timely responses and prioritizing as necessary.
2. Customer Service:
Provide exceptional customer service by addressing inquiries, resolving issues, and maintaining positive relationships with clients, partners, and vendors.
Act as a liaison for customer concerns or requests, ensuring timely and satisfactory resolutions.
3. Coordination and Communication:
Coordinate and facilitate communication within the organization, disseminating information, and ensuring alignment with the executive's directives.
Collaborate with various departments to gather, compile, and present reports or information as required.
4. Appointment Setting and Calendar Management:
Manage the executive's calendar by scheduling appointments, meetings, and conferences, taking into account priorities and deadlines.
Arrange travel plans, accommodations, and itineraries, ensuring efficiency and cost-effectiveness.
5. Information Handling and Confidentiality:
Handle sensitive and confidential information with discretion and professionalism.
Maintain organized records and documents, both physical and digital, ensuring easy accessibility and security.
Qualifications:
- Proven experience as an executive assistant or in a similar administrative role.
- Excellent communication and interpersonal skills.
- Proficiency in office management software and the ability to learn new applications quickly.
- Strong organizational and time-management skills with the ability to multitask and prioritize effectively.
- Discretion and confidentiality when dealing with sensitive information.
